Accounts Payable Lead Specialist - The Guild for Human Services - Concord, MA

Summary:

The Accounts Payable Specialist works under the direction of the Director of Finance and in cooperation with Guild staff to take responsibility for the day-to-day transactional, clerical and administrative support concerning the Guild’s various programs. S/he is responsible for the ongoing validation, processing and filing of invoices and reconciliation and other support as necessary to the finance department. Demonstrated sense of urgency and ability to meet deadlines as well as excellent organization, communication and coordination skills will ensure the attainment oforganization goals/objectives.

Major Duties/Responsibilities:

  • Utilize and maintain accounting system, accounts payable module andspreadsheet software.
  • Coordinate day to day management of all payment cycle activities in atimely and efficient manner.
  • Analyze, prioritize, code and pay bills and invoices, managing vendorexpectations.
  • Assemble and forward bills to the appropriate department head forpayment approval.
  • Research and resolve vendor billing discrepancies.
  • Coordinate and maintain lead vendor/payable schedules as necessary to ensure accuracy in coding transactions.
  • Enter and/or upload invoices into the system, prepare and perform checkruns and electronic payments.
  • Maintain/perform data entry into detailed month-end workbook
  • Perform month-end reconciliation between the general ledger the accountspayable module.
  • Coordinate, calculate, track and maintain vendor contracts with Guildcontractors and consultants.
  • Coordinate, compile and prepare calendar year-end 1099 forms.
  • Coordinate maintain and track vehicle lease schedule for monthly bill andyear-end audit.
  • Maintain financial vehicle records including: lease, gas card charges,maintenance etc.
  • Interact effectively to solicit staff recommendations to enhance timeliness, efficiency and accuracy of processes involving credit cardreceipts, audit schedules, financial reconciliations and spendingrecords.
  • Participate in ongoing in-service training and other mandatory staffmeetings.
  • Assist with year-end compliance and financial audit, compiling necessaryfinance related materials.
  • Provide back-up support to others within the finance department and perform other general administrative duties.
  • Other special projects and related duties as assigned.

Position Requirements:

  • Associates Degree or higher
  • Two (2) years of relevant experience.
  • Professional level verbal and written communication in English.
  • Ability to perform basic calculations, post entries into lead schedules, and prepare/maintain financial records.
  • Demonstrated sense of urgency and ability to meet deadlines, withoutsacrifice of detail or accuracy.
  • Excellent capabilities and skills in problem analysis/solving, organization and recordkeeping, and time management.
  • Proficiency in Microsoft Office Suite (especially Excel) and ability to useaccounting software.
